Sharp XRM Information Systems ("Sharp XRM", "we", "us") respects your right to privacy. This policy explains what personal information we collect through this website and when you buy or use our products, why we collect it, who we share it with and what your rights are. We comply with the Personal Information Protection and Electronic Documents Act (PIPEDA) and Quebec's Act respecting the protection of personal information in the private sector. Links to other websites open in new tabs; we are not responsible for their content or privacy practices.
1. Who is responsible
Sharp XRM Information Systems, in Quebec, Canada, is responsible for the personal information described in this policy. Our person in charge of the protection of personal information, Sara Collins, can be reached at support@sharpxrm.com.
2. Information we collect
- When you contact us or request a trial: your name, work email and company and, if you choose to give them, your job title, phone number, country, the connectors you're interested in, your trial license key and your message.
- When you buy: your name, work email, company and phone number from our checkout form; your billing address and, for business buyers, your tax registration number, collected by Stripe; the products and quantities ordered and the amounts paid. You enter your card details directly on Stripe's secure payment page: we never receive or store your full card number, only the card brand, its last four digits and Stripe's payment references and receipt link.
- When you ask for support or use our products: the information you include in your requests, and what we need to issue and manage your licenses.
- Automatically, when you visit this website: your IP address and browser information, used to keep the site secure (for example to block abusive traffic and bots), and technical diagnostics about the site's performance and errors.
We don't use advertising or social-media trackers, and we don't build profiles of visitors.
3. Why we use it
We use your personal information to:
- answer your requests and provide trials;
- process your orders, calculate sales taxes, issue licenses and send renewal reminders;
- provide support, product updates and important notices about the service;
- keep this website secure and working, and prevent fraud and abuse;
- meet our legal, tax and accounting obligations.
We only send you marketing emails if you have agreed to receive them, and every such email lets you unsubscribe.
4. Service providers
We use trusted service providers to run this website and our business. They process personal information on our behalf, only for the purposes above, under agreements that require them to protect it:
- Microsoft hosts this website (Microsoft Azure), our customer, order, trial and support records and the emails we send from them (Microsoft Dynamics 365 and Microsoft Dataverse), and the website's diagnostics (Azure Application Insights). Microsoft Privacy Statement

We don't sell or rent your personal information. We may also disclose it where the law requires.
5. Where your information is stored
Our service providers may store and process personal information outside Quebec and Canada, including in the United States. It remains protected by our agreements with them and by the security measures described below, but it may be accessible to authorities under the laws of those countries.
6. Cookies and similar technologies
We only use what this website needs to work:
- a security cookie that protects our forms against forged submissions;
- your shopping cart, saved in your own browser (local storage) until you check out;
- Cloudflare Turnstile on the contact form, which may use cookies or similar technologies to tell people from bots;
- Stripe, on its payment page, which uses cookies for security and fraud prevention.
The website's language comes from its address (/fr for French), not from a cookie. We don't use advertising or analytics cookies.
7. Our products
Address Validation runs in your own Microsoft Dataverse environment. The addresses your users look up are sent from your environment to the address data provider you configure (such as Microsoft Azure Maps, Google, Canada Post, PostGrid or Melissa), using your own account with that provider; that provider's terms and privacy policy apply to those lookups. The information we receive to issue licenses and provide support is described in this policy and in our End User License Agreement.
8. How long we keep it
We keep personal information only as long as we need it for the purposes above. Order, billing and tax records are kept for at least six (6) years, as tax law requires. Contact and trial requests are kept as long as they are useful to follow up and support you, then deleted or anonymized.
9. Security
Your personal information is held on secure servers, is encrypted in transit and is only available to the people who need it. The nature of the Internet is such that we cannot guarantee the security of information transmitted over it, but we take all reasonable steps, including appropriate technical and organizational measures, to protect your personal information.
10. Your rights
You can ask to see the personal information we hold about you, to have it corrected or deleted, to withdraw your consent, or to know how it has been used or shared, by writing to support@sharpxrm.com. We answer within 30 days. Access is free; a reasonable fee may only apply for transcribing, copying or sending information, and we will tell you before charging it. If you're not satisfied with our answer, you can contact the Commission d'accès à l'information du Québec or the Office of the Privacy Commissioner of Canada.
11. Sale of business
If all or substantially all of our business or assets are sold, merged, liquidated, placed in receivership or transferred, we may transfer personal information to the third party concerned, provided it agrees to follow this policy and to use your personal information only for the purposes for which you provided it. You will be notified of any such transfer and given an opportunity to opt out.
12. Changes to this policy
Any changes to this policy will be posted on this page, with the date of the last update at the top, so you always know what information we collect, how we use it and when we disclose it. If we decide to use personal information in a manner significantly different from what this policy states, or from what we told you when we collected it, we will notify you by email and you will be able to choose whether we may use your information in the new manner.
